Depending on the nature of the Services provided, Spatial Guide may act either as a Data Controller, determining the purposes and means of processing personal information, or as a Data Processor (or equivalent role under applicable law), processing personal information solely on behalf of and under the instructions of our Customers. Where Spatial Guide processes Customer Data on behalf of a Customer, the Customer remains responsible for determining the lawful basis for processing such information and for complying with applicable privacy and data protection laws.

This Privacy Policy should be read together with our Terms of Service, subscription agreements, data processing agreements, and any product-specific notices that may apply to particular Services.

Information Collected and How It Is Used

You are not required to provide personal information simply to browse our public websites. As a result, Customers may upload, transmit, create, or otherwise process information through our platforms, including operational records, business documents, inventory information, equipment information, workflow information, customer records, employee information, asset information, location information, healthcare information, or other business-related data.


Except where otherwise specified, Spatial Guide processes such Customer Data solely for the purpose of providing the Services requested by our Customers and in accordance with applicable agreements. In these situations, Spatial Guide generally acts as a data processor or service provider on behalf of the Customer, while the Customer remains responsible for determining the purposes and lawful basis for processing the information.

Information Received Through Integrations

Our Services may integrate with third-party applications, enterprise systems, cloud platforms, communication services, payment providers, identity providers, customer relationship management systems, enterprise resource planning systems, healthcare systems, mapping services, analytics platforms, and other business applications.

When authorized by you or your organization, we may receive information from these integrated systems solely to enable the requested functionality, synchronize information, automate workflows, authenticate users, or improve the operation of our Services. The type and amount of information received depends on the specific integration and the permissions granted by you or your organization.

Information from Third Parties

We may receive information about you from publicly available sources, business partners, service providers, marketing partners, event organizers, identity providers, or other third parties where permitted by applicable law. We combine such information with information already available to us only where it is reasonably necessary to provide our Services, maintain accurate records, improve customer relationships, comply with legal obligations, or protect the security and integrity of our business.

How We Use the Information We Collect

Our processing of Customer Data is governed by the applicable agreements entered into with our Customers, including any applicable Data Processing Agreement.

If you are an employee, contractor, patient, customer, supplier, or other individual whose personal information is processed through one of our Customers' use of our Services, and you wish to access, correct, update, delete, or otherwise exercise your privacy rights with respect to that information, you should contact the relevant Customer directly. Where appropriate and consistent with our contractual obligations, Spatial Guide will assist our Customers in responding to such requests in accordance with applicable law.

Accessing, Updating, or Correcting Your Personal Information

Depending on your location and the applicable data protection laws, you may have certain rights regarding your personal information. These rights may include the ability to access the personal information we hold about you, request correction of inaccurate or incomplete information, request deletion of your personal information, request that we restrict or limit certain types of processing, object to processing carried out under specific legal grounds, request a copy of your personal information in a portable format where technically feasible, withdraw your consent where our processing is based on consent, and opt out of receiving marketing or promotional communications from us at any time.

Data Retention

We retain personal information only for as long as necessary to fulfill the purposes for which it was collected, including providing our Services, maintaining customer accounts, supporting our Customers, complying with contractual obligations, meeting legal and regulatory requirements, resolving disputes, enforcing our agreements, protecting our legitimate business interests, and maintaining appropriate business and financial records.

The length of time for which personal information is retained depends on the nature of the information, the Services being provided, the relationship we have with you or your organization, and any applicable legal or contractual retention requirements. Depending on the Services being provided and the nature of the relationship with a Customer, Spatial Guide may act either as a Data Controller or as a Data Processor (or equivalent role under applicable law).

Where Spatial Guide determines the purposes and means of processing personal information, such as information relating to our websites, marketing activities, customer accounts, business relationships, recruitment activities, or direct interactions with individuals, Spatial Guide acts as the Data Controller and processes personal information in accordance with this Privacy Policy.

Where Spatial Guide processes Customer Data solely on behalf of a Customer, including information uploaded to or processed through our Services, Spatial Guide acts as a Data Processor or service provider and processes such information only in accordance with the Customer's documented instructions and the applicable contractual agreements.

The Customer remains responsible for determining the lawful basis for processing, providing any required privacy notices, obtaining necessary consents where applicable, and responding to requests from individuals regarding their personal information.

Spatial Guide implements commercially reasonable administrative, technical, and organizational safeguards designed to protect Customer Data against unauthorized access, disclosure, alteration, or destruction. We require our employees, contractors, and authorized service providers to maintain the confidentiality of Customer Data and to access such information only where necessary to perform their assigned responsibilities.

Where required by applicable law or contractual obligations, Spatial Guide may enter into Data Processing Agreements ("DPAs"), Business Associate Agreements ("BAAs"), Standard Contractual Clauses ("SCCs"), or other appropriate contractual arrangements with Customers to support compliance with applicable privacy, healthcare, and data protection regulations.

Nothing in this Privacy Policy limits any additional privacy or security obligations that Spatial Guide has agreed to under separate written agreements with its Customers. In the event of any conflict between this Privacy Policy and an applicable customer agreement with respect to Customer Data, the terms of the applicable customer agreement shall prevail to the extent permitted by law.
